Reserving a meeting room:

In order to reserve the Library's Meeting Room facilities the renter must be an adult current cardholder at the John P. Holt Brentwood Library. 

Groups may reserve a meeting room once a month.  

All communication will be through the Library card holder.  Changes to a reservation must be submitted in writing by the cardholder. All reservation requests are tentative until the required documents and payment have been received.

Cancellations:

  • Renter must submit a cancellation request in writing by emailing meetingroom@brentwoodtn.gov, or delivering a written request to the Circulation desk.
  • Groups canceling with 8 or more days’ notice will receive a credit on the renter’s library account.
  • Groups failing to cancel 7 days before the reserved date will forfeit the room rental fee.

Prohibited Uses:

Usage of the Library meeting room is prohibited for the following: 

Private social events such as, birthdays, anniversaries, wedding receptions, showers, and/or parties.

Alcohol is forbidden on Library grounds.

Room Hours:

Monday - Saturday 6:00 AM - 10:00 PM

Sunday 12:00 PM - 6:00 PM

If you reserve a meeting room before Library hours, a meeting room key will be placed on hold for you to pick up the day before your event. To pick up the meeting room key, you must provide the library card or use your driver's license. If you are sending another person, they must have the library card present.

Charging Rates:

Non-profit Organization - $5.00 per hour. Groups that are non-profit will be required to provide proof of tax-exempt status.

For-profit/Other - $25.00 per hour

AV equipment: Microphones $25.00

Projector, screen, and laptop:  $25.00

Set up/break down of the room must be reserved when selecting your reservation times.

Room Size: 

 Our meeting room will hold up to 110 people in a theater-style arrangement with chairs in rows. When seating guests at tables, the room will hold a maximum of 75 people. The entire room measures 3,500 square feet or 50' x 70'; it's normally divided into two rooms of equal size (1750 square feet), known as meeting rooms "A" and "B." The pre-function hallway area measures 400 square feet.

Amenities:

Wi-Fi - login information is located inside the meeting room.

Tables - 45 -50 tables are available for use.

Chairs - approximately 110 will be available for use.

Kitchen -  Refrigerator / Freezer, Food warmer, Microwave, Ice maker, and plenty of counter space.

Cleaning supplies, Bissell, and vacuum are accessible to renters.

Whiteboard with markers and eraser.

ADA doors, handicap parking near the meeting room.

Vending machine - A soda machine is located near our public restrooms. The snack machine and an additional soda machine are located in our Teen area.
